The Training Collective (TTC)Cancellation, Rescheduling, Credit, and Refund Policy

Effective Date: October 18, 2026

Last Updated: October 18, 2026

This Policy applies to training sessions, memberships, camps, clinics, events, game analysis, team services, field rentals, and other services offered by The Training Collective LLC ("TTC"), unless a written program-specific agreement states otherwise.

1. General Principles

TTC reserves participant spaces, coaching time, fields, and facility capacity based on registrations. Cancellation and refund rules are intended to balance participant flexibility with TTC’s staffing and facility commitments.

All cancellation, rescheduling, credit, and refund requests must be submitted through [email protected] and are effective when received by TTC.

2. Monthly Group-Training Memberships (When Offered)

  • Membership fees are billed monthly in advance.
  • A participant may cancel future monthly billing by providing at least 30 days’ written notice through TTC’s approved cancellation method. Membership fees will continue to be charged during the 30-day notice period, and cancellation will take effect at the end of that period.
  • Membership payments are final once processed and are non-refundable, including for partial months, missed sessions, voluntary withdrawal, scheduling conflicts, illness, injury, relocation, or similar circumstances, except where required by law or where TTC cancels the applicable service without offering a reasonable substitute or credit.
  • A participant’s failure to attend does not suspend billing or create an automatic refund or credit.
  • Memberships may not be shared or transferred without TTC’s written approval.
  • Membership pauses are not a standard benefit and are not available for travel or scheduling conflicts. TTC may consider a medical-emergency pause at its sole discretion, upon a timely written request and reasonable documentation confirming inability to participate. Any approved pause is limited to 30 consecutive calendar days, unless applicable law requires otherwise.
  • TTC may change recurring schedules with reasonable notice when operationally necessary.

3. Individual and Small-Group Sessions

  • Sessions canceled or rescheduled at least 24 hours before the scheduled start time may be rescheduled without penalty, subject to availability.
  • Cancellations made less than 24 hours before the start time, and no-shows, result in forfeiture of the session. The full session fee remains due and no refund or credit will be issued, except in TTC’s discretion for a verified emergency.
  • If TTC or the assigned coach cancels, TTC will offer a rescheduled session, account credit, or refund for the affected session.
  • Late arrival does not extend the scheduled end time.

4. Camps, Clinics, ID Sessions, and Events

  • A cancellation received at least 14 days before the start date is eligible for a refund less a non-refundable $25 registration/administrative fee.
  • A cancellation received between 7 and 13 days before the start date is eligible for a TTC account credit, not a cash refund.
  • A cancellation received fewer than 7 days before the start date is non-refundable and receives no credit, except where required by law or approved by TTC for a documented emergency.
  • Registration may be transferred to another eligible participant only with TTC’s prior written approval.
  • If TTC cancels the entire camp or event, registrants may choose a full refund or account credit.
  • If TTC modifies a schedule, coach, curriculum, or location without canceling the program, TTC will determine whether a refund or credit is appropriate based on the materiality of the change.

5. Team Training and Private Group Bookings

Deposits and cancellation terms for team or private-group bookings will be stated in the applicable proposal or booking confirmation.

  • A 50% non-refundable deposit is required to reserve dates.
  • The remaining balance is due 14 days before the first scheduled service.
  • Cancellations received fewer than 14 days before the first service may be charged up to the full contracted amount, subject to TTC’s ability to rebook the reserved time.

6. Field and Facility Rentals

  • Payment in full is required at the time of booking to reserve the field or facility, unless TTC agrees otherwise in writing.
  • A cancellation received at least 72 hours before the rental is eligible for a facility credit equal to the amount paid. The credit is non-transferable, has no cash value, and must be used within six months after issuance unless TTC specifies a different period in the written rental agreement.
  • A cancellation received fewer than 72 hours before the rental is not eligible for a refund or facility credit.
  • The renter is responsible for overtime, damage, excessive cleaning, prohibited conduct, and violations of facility rules.
  • Separate rental terms, insurance requirements, and indemnification provisions may apply.

7. Game Analysis and Video Services

  • Payment is due before analysis begins.
  • Once TTC has begun reviewing footage or preparing the analysis, the fee is non-refundable.
  • If the client fails to provide usable footage or attend the scheduled review meeting, TTC may reschedule at its discretion; additional work may require an additional fee.
  • TTC does not guarantee recruiting, selection, performance, or other outcomes from video analysis.

8. Weather, Facility Closures, and Unavoidable Events

TTC may cancel, delay, relocate, combine, or modify activities because of weather, unsafe conditions, facility closures, coach illness, governmental orders, utility failures, or events beyond TTC’s reasonable control.

When TTC cancels an activity, TTC will generally offer a makeup, substitute session, or account credit. A cash refund will be provided only when TTC determines that a reasonable makeup or credit cannot be offered, or when required by law.

A closure or interruption affecting only part of a recurring membership period does not automatically entitle the participant to a prorated refund if TTC provides a reasonable makeup, substitute, or credit.

9. Injury or Medical Circumstances

Payment is not automatically refundable or creditable because of injury, illness, relocation, or scheduling conflicts. TTC may, in its sole discretion and upon a timely written request supported by reasonable documentation, provide a pause, prorated credit, or transfer for a participant who cannot participate because of a verified medical emergency or other extraordinary circumstance. Any accommodation is subject to program structure, capacity, timing, and applicable law.

Medical accommodations are not guaranteed. For a membership pause, TTC may request documentation confirming inability to participate, but does not require disclosure of a diagnosis. Any approved pause is limited to 30 consecutive calendar days unless otherwise required by law.

10. Credits

Unless otherwise stated:

  • Credits expire six months after issuance.
  • Credits may be used only for eligible TTC services.
  • Credits have no cash value and are not transferable without written approval.
  • Promotional credits and donated services are non-refundable.

11. Conduct and Safety Removals

TTC may remove a participant or renter for unsafe, threatening, abusive, discriminatory, destructive, or materially disruptive behavior, or for serious or repeated violations of TTC or facility rules.

Refund eligibility following removal will be determined by TTC based on the circumstances, the services already provided, costs incurred, and applicable law. No refund is required for removal based on serious misconduct to the extent permitted by law.

12. Chargebacks and Billing Questions

Customers should contact TTC promptly at [email protected] to resolve billing questions before initiating a payment dispute. Fraudulent or abusive chargebacks may result in suspension of services and collection of amounts lawfully due.

Nothing in this section limits rights that cannot be waived under payment-network rules or applicable law.

13. Refund Method and Timing

Approved refunds will generally be issued to the original payment method within 10 business days after approval. Financial institutions may require additional processing time.

14. Exceptions and No Waiver

TTC may grant an exception to this Policy in its discretion for a verified medical emergency, severe weather, facility closure, or another extraordinary circumstance. An exception granted in one instance does not waive this Policy or establish a precedent for another request.

15. Policy Changes

TTC may revise this Policy prospectively. The policy in effect when a service is purchased will generally govern that purchase unless a later change is required by law or accepted by the customer.
